We are the Trefriw Community Council, and this is our website.

What personal data we collect and why we collect it

Comments

When visitors leave comments on news items, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture (if applicable) is visible to the public in the context of your comment.

Contact form

When you contact us via the contact form, your name and contact details will be held by Trefriw Community Council for the purpose of responding to and actioning your query, and will be discarded promptly when there is no longer a need to store your data.

Our contact form is powered by WPForms. WPForms does not use cookies, and nor does it collect user data. You can find the full WPForms privacy policy by clicking here.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Analytics

This website collects analytics that show us which IP address has looked at what page on our site, and when. This helps us to gauge community use of the website, and is a service automatically provided by our web host. Your IP address could be used to identify you specifically, so it is considered personal data. Trefriw Community Council do not use these analytics in a personally identifying way. This data is stored on a secure host for 30 days, and is automatically discarded. Any website usage data we store elsewhere (for example, on paper or in the Clerk’s computer) will be anonymised.

Who we share your data with

Trefriw Community Council may share personal data about you with Conwy County Borough Council (CCBC) or related agencies in the course of actioning a request, complaint, or query that you have initiated. We will always ask your consent before sharing your data, and will never share it without your consent.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Data retained as a result of contacting us via the contact form (or via email or telephone) will be discarded as your query is resolved, or within one year – whichever is soonest. If the actions we take as a result of your contact are ongoing after one year, we may ask your consent to store your data longer.

What rights you have over your data

You can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments, as well as contacts, may be checked through an automated spam detection service.

Your personal data may be shared with Conwy County Borough Council (CCBC) or related agencies; we will always ask your consent before doing so.
